Breepark

Breepark is the largest event location and leisure area on the outskirts of Breda. The event hall can accommodate 13,000 visitors and, together with the conference and meeting rooms and the 2.5Ha outdoor festival area, provides unlimited possibilities. Our hall is the place for the coolest TV productions and you organize and experience the best (corporate) parties, music and sports events, festivals, fairs and conferences here.

Choice of Smart Event Manager

Team Breepark consists of different departments and these departments worked together in different documents and systems to properly handle all business requests. Precious time was lost with this, as it gave a lot of administrative work. Making this process less time-consuming had long been a great desire of Breepark.

After researching several reservation systems, Breepark chose SEM.

I, Vera, work in the sales department at Breepark and had worked with SEM before. Partly because of my previous experience and the diverse capabilities SEM offered, we chose to improve our work processes with this system. A demo of SEM to all the departments involved was the deciding factor.

Time saving

SEM standardizes a lot. This makes making mistakes almost impossible. Where a quote for a simple meeting would normally take an hour, this has been reduced to a process where you can send the quote to the customer within 10 minutes. It is clear what arrangements have been made with the customer, because you can easily enter all the information when booking. This also makes the transfer from sales to the executive departments much more complete and orderly.

Our large events and festivals do still offer some challenge to properly incorporate them into the system. SEM is very strong in meetings and multi-day (small) conferences, but a large event like a music festival is a different ballgame. Here a lot of information comes only after the fact, and a lot of additional costs, post-calculations and installment invoices are used. Together with Tessa, our consultant for implementation from SEM, we looked at the possibilities and have already come up with many solutions. There are points here and there that could have been different for us, but we understand that it is difficult to be 100% conclusive for every organization.

Smooth implementation

Tessa guided us well. I already knew Tessa from my previous work, which was easy to switch. The basics of SEM were already familiar to me, so that setup was done incredibly quickly. Some tweaking and tightening here and there was done to set up the system properly for Breepark. There was even time left over to provide 2 basic training sessions for Breepark employees.

In the meantime, we have started SEM and everything is being completed and updated in the background. There are still many questions from the organization that I can solve myself and otherwise with the help of a consultant. Working away you run into points, that will remain so for some time, because a changeover to a new system takes time. The foundation has been laid and now it is up to us to use SEM as efficiently as possible for Breepark.
