Hi, I am Ruby and work at Campground the Lievelinge. For some familiar territory, for others a place yet to be discovered… Our beautiful site in the middle of the Lingebos has numerous locations and because creativity literally has no limit here, we fanatically organize and program a diverse program for everyone between 0-100 years.

Need for a location planning system

In addition to being a place where you can say that special “I do,” or connect with colleagues outside of working hours in a relaxed setting, our venue invites you to wander among its remarkable buildings, each one sparking the imagination of those open to it.

Because we daily switch between various ‘streams’ of our own programming, as well as external retreats, weddings, and corporate events such as company parties, teambuilding sessions, or meetings, we realized the need for a planning system. That is why we started using Smart Event Manager, to prevent scheduling conflicts and overlapping programs in the same spaces! Smart Event Manager allows you to reserve time for setup and breakdown when booking a space. This has proven incredibly helpful. Internally, it means we’re much less likely to get in each other’s way, especially across the different departments within our organization.

Our goal is to move away from operating in isolated silos with individual workflows, and to transition toward a more unified way of working. We’re already seeing this shift, thanks to everything now coming together in the Planning Board of Smart Event Manager.

We have now been working with Smart Event Manager for almost three months, and everyone is gradually finding their way. The biggest shift for us has been embracing the mindset: let the system do the work for you. We were used to manually calculating prices when preparing quotes and ensuring everything was correct ourselves, whereas Smart Event Manager can actually do all of this for you.

We’ve also greatly benefited from the standard reservation templates. I think many companies will recognize that most reservations basically consist of the same setup. The program allows you to create and sace these standard reservations, and load them directly when making a reservation in the planning board. This saves a huge amount of time and consequently reduces errors: the chance of forgetting something is limited by using this feature. Working with Smart Event Manager saves us a lot of mental effort and valuable time!
