Choice for Smart Event Manager
Team Breepark consists of various departments, and these departments uses to work with different documents and systems to handle all business requests correctly. This process consumed a lot of valuable time and involved heavy administrative tasks. Streamlining this process had been a long-standing wish for Breepark.
After researching several reservation systems, Breepark chose SEM.
I, Vera, work in Breepark’s sales department. I had previously worked with SEM, and thanks to my prior experience, along with the wide range of features SEM offers, we decided to improve our workflows with this system. A demo presented to all departments involved sealed the deal.
Time savings
SEM brings a high level of standardization, making it nearly impossible to make mistakes. For example, where creating a quote for a simple meeting used to take about an hour, the process has now been reduced to sending a quote to the customer within 10 minutes. It’s easy to document all agreements with the customer because all relevant information can be recorded directly in the reservation. As a result, the handover from sales to operations is now far more complete and clearly structured.
Our larger events and festivals still present some challenges in terms of integrating them into the system effectively. SEM is very strong when it comes to meetings and multi-day (small) conferences, but a large event like a music festival requires a different approach. Much of the necessary information arrives later in the process, and the workflow often includes additional charges, post-calculations, and phased invoicing.
Together with Tessa, our implementation consultant from SEM, we explored what was possible and already found many workable solutions. Of course, there are still some aspects we would have preferred to handle differently, but we understand that it’s difficult to create a system that fits every organization 100%.
Smooth implementation
Tessa guided us through the process really well. I already knew Tessa from my previous job, which made communication easier. Since I was already familiar with the basics of SEM, the initial setup was completed very quickly. We made a few adjustments and improvements here and there to tailor the system specifically for Breepark. There was even time left to provide two basic training sessions for Breepark staff.
We’ve now started working with SEM, and everything is gradually being expanded and refined in the background. There are still many questions coming from within the organization, most of which I can resolve myself, or with the help of a consultant if needed. We’re encountering certain issues as we go, which is to be expected when transitioning to a new system. But the foundation is in place, and now it’s up to us to use SEM as efficiently as possible for Breepark.
